Sync, backup and export do different jobs

Most journal apps offer at least one of these. You want two of them, so one mistake can't take everything.

A simple routine that works

  1. Export your whole journal once a month, and after any big trip or event
  2. Save the file to iCloud Drive, or move it to a computer
  3. Keep the last two or three exports and delete older ones
  4. Open the newest one to check it reads properly

Check what your iPhone backup includes

Apple says iCloud Backup includes app data for the apps you've downloaded. There are exceptions. Apple's own Journal app isn't in unencrypted iPhone backups or iCloud Backup at all. It needs an export or an encrypted backup on a Mac or PC. Turn on iCloud Backup in Settings under your name, then iCloud, then iCloud Backup.

Where to keep the file

An export is a plain file, so anyone who opens it can read it. Store it where you'd keep other private papers.

  • iCloud Drive, in a folder you'll remember
  • A computer, moved there with AirDrop or a cable
  • An external drive, if you already back up your computer to one

Test that your copy works

A backup you've never opened is a guess. Open the PDF and read your oldest entry. Then open one recording to check the audio plays. If you ever need it, Dawn Light can import its own export, and importing the same file twice never makes duplicates.

Questions about backing up a journal

Is iCloud sync a backup?

Not on its own. Sync keeps your iPhone and iPad matching, so an entry you delete on one disappears from both. An export file is the copy that survives a mistake.

How often should I export my journal?

Once a month is a good rhythm for most people. Export sooner after something you'd hate to lose, such as a trip or a big week.

What happens to my entries if I delete the app?

In most apps, deleting the app deletes what's stored on that device. Copies in iCloud or in an export file stay. Export before you delete any journal app.
